Privacy Policy of BetterFlow

Welcome, and thank you for your interest in BetterFlow. This Privacy Policy describes the information that we gather on or through the Service, how we use and disclose such information, and the steps we take to protect such information. By visiting the Site, or by purchasing or using the Service, you accept the privacy practices described in this Policy. This Policy is incorporated into, and is subject to, the BetterFlow Terms of Service. Capitalized terms used but not defined in this Policy have the meaning given to them in the BetterFlow Terms of Service.

What Information Do We Collect

We collect the following information directly from you, or through the Service.

1. Usage Information

As you navigate our websites, BetterFlow may collect information through the use of commonly-used information-gathering tools such as cookies and Web beacons. With it, we collect

  1. Browser information (type and language)

  2. IP address

  3. Open / Click-through tracking URL: In some of our email communications, we use a “click-through tracking URL” that, when clicked, sends you to a different web address, which logs your click, before redirecting you to your expected destination.

  4. The actions you take on our websites (such as the web pages viewed and the links clicked, and time spent).

  5. Referrer information

  6. Event registrations.

2. Personal Information

When you use our website to request information about us or our Services, register for a BetterFlow CRM cloud account, register to attend an event, register for our blogs, register for the marketplace, or join in our community discussions, and apply to join our partner program, we may collect the following personal information. We may gather some of this information from third party sources, as described in the section below titled “Information from Other Sources."

  1. First Name & Last Name

  2. Email Address

  3. Phone number

  4. Job Title

  5. IP Address: When you use the BetterFlow CRM Cloud application, we automatically collect Internet Protocol (“IP”) address, the date and time of your login and logout sessions. This data is stored in your CRM account under user Login History.

When you purchase our Services or add-ons published by third parties, BetterFlow will require you to provide us with the following

  1. Business Name

  2. Billing details such as Credit Card Number &Paypal

  3. Mailing Address

  4. Quantity of users

4. Support communication

If we communicate with you to offer support through any medium (Phone, Chat, Email, & Messaging apps such as Whatsapp) we will collect and store the following information

  1. Chat Transcripts

  2. Emails

  3. Phone call logs

  4. Phone call recordings

5. Information from other sources

We may obtain information, including Personal Data, from third parties and sources other than the Service. These include publicly available sources of information like LinkedIn, Facebook, and Twitter. They also include our partners, mutual connections, advertisers, credit rating agencies, and Integrated Services. This information may be collected to facilitate our understanding of who you are and your needs, as well as to help us improve our products and services. If we combine or associate information from other sources with Personal Data that we collect through the Service, we will treat the combined information as Personal Data in accordance with this Policy.


How Do We Collect the Information?

We may collect the following personal information from you within the Websites: Contact Information, such as name,email address, mailing address, or phone number; Information about your business, such as company name, company size, business type We may collect the following personal information from you when you use our Service(s): Contact Information, such as name, email address, mailing address, IP address, geographic location, or phone number; Unique Identifiers, such as username, account number or password; Name and e-mail address when you provide feedback from the Service(s) We collect your e-mail address through the Website in order to refer our Service(s).

In order to manage customer relationships, our customers may collect name, e-mail address, phone number, physical address, billing information, designation, and Company name of your contacts through the “import contacts” feature within the Service.


Use of Personal Information

Because we collect information on our websites for various reasons, we have outlined what information we collect and what we do with it in the following sections

1. Registration And/Or Request Forms

Some of our sites contain registration and/or request forms that require users to give us contact information (such as their name and e-mail address) and unique identifiers (such as software registration numbers). We use customer contact information from the registration and request forms to send you information about our company and to contact you when necessary. Unique identifiers may be collected for use as account numbers in our record system, or to verify you as a registered user of our software.

2. Order Forms

Our sites use order forms for customers to request information, products, and services. We collect your contact information (such as your e-mail address) and financial information (such as account or credit card numbers). Contact information from the order form is used to send orders and information about our company to our customers. Your contact information also lets us get in touch with you when necessary. We use financial information to bill you for products and services that you have purchased.

3. Surveys

Occasionally, we ask users to voluntarily participate in online surveys. Our online surveys may ask visitors for contact information (e.g. e-mail address), financial information (e.g. yearly combined household income), and demographic information (e.g. zip code, age, location). We keep this information strictly confidential, and use it to help us optimize our products and sites for our users.

4. Demographic Information

We use this information to aggregate information to identify general customer trends. This information is also used to provide relevant content to you based on demographic information provided, including but not limited to industry and company size.

5. Integration from Gmail

App's use of information received, and App's transfer of information to any other app, from Google APIs will adhere to Google's Limited Use Requirements


To Whom We Disclose the Information?

Except as described in this Policy, we will not intentionally disclose the Personal Data or Client Data that we collect or store on the Service to third parties without the consent of the applicable Visitor, User or Client. We may disclose information to third parties if you consent to us doing so, as well as in the following circumstances

1. Unrestricted Information

Any information that you voluntarily choose to include in a Public Area of the Service, such as a public profile page, will be available to any Visitor or User who has access to that content.

2. Service Providers

We work with third party service providers who provide website, application development, hosting, maintenance, sales and other services for us. These third parties may have access to, or process Personal Data or Client Data as part of providing those services for us. We limit the information provided to these service providers to that which is reasonably necessary for them to perform their functions, and our contracts with them require them to maintain the confidentiality of such information.

3. Non Personally Identifiable Information

We may make certain automatically-collected, aggregated, or otherwise non-personally-identifiable information available to third parties for various purposes, including (i) compliance with various reporting obligations; (ii) for business or marketing purposes; or (iii) to assist such parties in understanding our Clients’, Users’ and Visitors’ interests, habits, and usage patterns for certain programs, content, services, and/or functionality available through the Service.

4. Law Enforcement, Legal Process and Compliance

We may disclose Personal Data or other information if required to do so by law or in the good-faith belief that such action is necessary to comply with applicable laws, in response to a facially valid court order, judicial or other government subpoena or warrant, or to otherwise cooperate with law enforcement or other governmental agencies.

We also reserve the right to disclose Personal Data or other information that we believe, in good faith, is appropriate or necessary to (i) take precautions against liability, (ii) protect ourselves or others from fraudulent, abusive, or unlawful uses or activity, (iii) investigate and defend ourselves against any third-party claims or allegations, (iv) protect the security or integrity of the Service and any facilities or equipment used to make the Service available, or (v) protect our property or other legal rights, enforce our contracts, or protect the rights, property, or safety of others.

5. Change of Ownership

Information about Users and Visitors, including Personal Data, may be disclosed and otherwise transferred to an acquirer, successor or assignee as part of any merger, acquisition, debt financing, sale of assets, or similar transaction, as well as in the event of an insolvency, bankruptcy, or receivership in which information is transferred to one or more third parties as one of our business assets and only if the recipient of the User or Visitor Data commits to a Privacy Policy that has terms substantially consistent with this Privacy Policy.

Client Data may be physically or electronically transferred to an acquirer, or successor or assignee as part of any merger, acquisition, debt financing, sale of assets, or similar transaction, as well as in the event of an insolvency, bankruptcy, or receivership in which information is transferred to one or more third parties as one of our business assets, for the sole purpose of continuing the operation of the Service, and only if the recipient of the Client Data commits to a Privacy Policy that has terms substantially consistent with this Privacy Policy.


How we store and secure the data we collect?

We follow generally accepted industry standards to protect the information submitted to us, both during transmission and once we receive it. We maintain appropriate administrative, technical and physical safeguards to protect Personal Data against accidental or unlawful destruction, accidental loss, unauthorized alteration, unauthorized disclosure or access, misuse, and any other unlawful form of processing of the Personal Data in our possession. This includes, for example, firewalls, password protection and other access and authentication controls. We use SSL technology to encrypt data during transmission through public internet, and we also employ application-layer security features to further make the Personal Data anonymous.

However, no method of transmission over the Internet, or method of electronic storage, is 100% secure. We cannot ensure or warrant the security of any information you transmit to us or store on the Service, and you do so at your own risk. We also cannot guarantee that such information may not be accessed, disclosed, altered, or destroyed by breach of any of our physical, technical, or managerial safeguards. If you believe your Personal Data has been compromised, please contact us as set forth in the “How to Contact Us” section.

If we learn of a security systems breach, we will inform you and the authorities of the occurrence of the breach in accordance with applicable law.

We only retain the Personal Data collected from a User for as long as the User’s account is active or otherwise for a limited period of time as long as we need it to fulfill the purposes for which we have initially collected it. We will retain and use information as necessary to comply with our legal obligations, resolve disputes, and enforce our agreements as follows

  1. The contents of closed accounts are deleted within 1 month of the date of closure

  2. Backups are kept for 1 month

  3. Billing information is retained for a period of 7 years as of their provision to BetterFlow.

Use of Cookies.

BetterFlow makes use of a technology called “cookies” which stores small pieces of information on your computer. Sites often use cookies to identify repeat visitors and offer them personalized service. Our sites use cookies to keep track of your preferences, for remarketing, and to make sure you don’t see the same survey questions repeatedly. Also, third party vendors, including Google, show ads across the Internet and use cookies to serve ads based on a visitor’s prior visits to our website.

Cookies, by themselves, cannot be used to find out the identity of any user. BetterFlow will only store information that adds to your browsing experience. This information is not personally identifiable.


Security

This site has security measures in place to protect the loss, misuse, and alteration of the information under our control. When a user submits personal information, it is kept on a private server not accessible from the Internet. This prevents any malicious use of your information.

All financial information that is submitted to our websites is encrypted and is stored on private servers that are not accessible from the Internet. Further, users can select to transmit order information over a secure connection, which increases the security of each transaction.


Mobile Application

When you use our mobile apps, we may collect certain information in addition to the information described elsewhere in this Policy. Our mobile applications may access the geographic location of a User’s Device and OS identification, login credentials, language and time zone. Mobile Applications may also collect information regarding Users’ interaction with Mobile Applications, which BetterFlow may use to provide and improve the Mobile Application services. Additionally, the application may contact the device storage location for storing attachments or access camera and photos to capture additional information for better service management for the Customer.

We may ask you if you want to receive push notifications about activity in your account. If you have opted into these notifications and no longer want to receive them, you may turn them off under the settings of BetterFlow applications for mobiles.


Policy towards Children

BetterFlow does not knowingly collect any personal information from children under the age of 13. If you are under the age of 13, please do not submit any personal information through our Websites or Service(s). We encourage parents and legal guardians to monitor their children’s Internet usage and to help enforce this Policy by instructing their children never to provide personal information through our Service(s) or Websites without their permission. If you have reason to believe that a child under the age of 13 has provided personal information to us through our Websites or Service(s), please contact us and we will endeavor to delete that information and terminate the child's account from our databases.


Access, Correction, Deletion

We respect your privacy rights and provide you with reasonable access to the Personal Data that you may have provided through your use of the Services. If you wish to access or amend any other Personal Data we hold about you, or to request that we delete or transfer any information about you that we have obtained from an Integrated Service like Facebook, Indiamart, Zappier, Gmail etc, you may contact us as set forth in the “Contact Us” section. At your request, we will have any reference to you deleted or blocked in our database.


You may update, correct, or delete your Account information and preferences at any time by accessing your Account settings page on the Service. Please note that while any changes you make will be reflected in active user databases instantly or within a reasonable period of time, we may retain all information you submit for backups, archiving, prevention of fraud and abuse, analytics, satisfaction of legal obligations, or where we otherwise reasonably believe that we have a legitimate reason to do so


You may decline to share certain Personal Data with us, in which case we may not be able to provide to you some of the features and functionality of the Service.


Changes to Policy

Please revisit this page periodically to stay aware of any changes to this Policy, which we may update from time to time. If we modify the Policy, we will make it available through the Service, and indicate the date of the latest revision, and will comply with applicable law. Your continued use of the Service after the revised Policy has become effective indicates that you have read, understood and agreed to the current version of the Policy.
